Bristol Ladies Hockey Club ("we", "us", "the Club") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, and how we look after it, in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

1. Who we are

  • When you use our contact form, we collect your name, email address, and the content of your message.

  • When you sign up as a member, we collect information needed to register you with the Club, which may include your name, address, phone number, and date of birth.

  • We do not use cookies, analytics, or tracking tools on this website.

We use the information you provide to:

  • Respond to your enquiries and messages sent via the contact form

  • Register and manage your membership with the Club

  • Keep you informed about training, matches, and Club events

  • Meet any requirements of our governing body or league, where applicable

We only use your information for the purposes it was collected for, unless we reasonably consider we need to use it for another reason and that reason is compatible with the original purpose.

4. Our legal basis for processing

We rely on the following legal bases under UK GDPR:

  • Consent — when you contact us or sign up to hear from us, you're giving us permission to use your details for that purpose.

  • Contract — when you become a member, we need certain details to provide our services to you and administer your membership.

  • Legitimate interests — for the day-to-day running of the Club, such as organising training and communicating with members.

5. Who we share your information with

We do not sell or rent your personal information to third parties. We may share limited information with our hockey governing body or league where this is required for team registration or competition purposes. We do not share your information with anyone else unless we're required to by law.

6. Data retention

We keep contact form enquiries only as long as needed to deal with your message, and membership information for as long as you're an active member, plus a reasonable period afterwards in case we need to refer back to it (for example, for end-of-season records). We'll delete information we no longer need.

7. Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal information we hold about you, and get a copy of it

  • Ask us to correct any information that's inaccurate or incomplete

  • Ask us to delete your information, where there's no good reason for us to keep it

  • Withdraw your consent at any time, where we're relying on consent to use your information

  • Object to us using your information for certain purposes
