Bristol Ladies Hockey Club ("we", "us", "the Club") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, and how we look after it, in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

1. Who we are

Bristol Ladies Hockey Club is the data controller for the personal information described in this policy. If you have any questions about how we handle your data, you can contact us at bristolladieshockeyclub@gmail.com.

2. What information we collect

  • When you use our contact form, we collect your name, email address, and the content of your message.

  • When you sign up as a member, we collect the information needed to register you with the Club, which may include your name, address, phone number, and date of birth.

  • When you visit our website, we use a small number of essential cookies that the site needs to work properly. These can't be switched off.

  • With your permission, we may also use optional cookies, such as analytics cookies that help us understand how people use the site. You can accept or reject these when you first visit using our cookie banner. You can change your choice at any time by clicking the fingerprint icon in the corner of the screen.

  • We keep a record of your cookie choices so we don't need to ask you again every time you visit.

3. How we use your information

We use the information you provide to:

  • Respond to your enquiries and messages sent via the contact form

  • Register and manage your membership with the Club

  • Keep you informed about training, matches, and Club events

  • Meet any requirements of our governing body or league, where applicable

  • Keep our website working properly and, if you've agreed to optional cookies, understand how people use it so we can improve it

We only use your information for the purposes it was collected for, unless we reasonably consider we need to use it for another reason and that reason is compatible with the original purpose.

4. Our legal basis for processing

We rely on the following legal bases under UK GDPR:

  • Consent: when you contact us or sign up to hear from us, you're giving us permission to use your details for that purpose. We also only use optional cookies, such as analytics cookies, if you agree to them through our cookie banner.

  • Contract: when you become a member, we need certain details to provide our services to you and administer your membership.

  • Legitimate interests: for the day-to-day running of the Club, such as organising training and communicating with members, and for using the essential cookies our website needs to work properly.

5. Who we share your information with

We do not sell or rent your personal information to third parties.
 

We use a small number of trusted service providers to run our website and communications:

  • Wix, which hosts our website and stores any messages sent through our contact form

  • Usercentrics, which manages our cookie banner and records your cookie choices

  • Google Calendar, which displays our fixtures and events calendar (only shown if you accept optional cookies)

  • Google Maps, which displays maps showing where we train and play (only shown if you accept optional cookies)
     

These providers only use your information to provide their services to us.
 

We may also share limited information with our hockey governing body or league where this is required for team registration or competition purposes.
 

We do not share your information with anyone else unless we're required to by law.

6. Data retention

We keep contact form enquiries only as long as needed to deal with your message, and membership information for as long as you're an active member, plus a reasonable period afterwards in case we need to refer back to it (for example, for end-of-season records). We'll delete information we no longer need.
 

Your cookie choices are stored for a limited time so we don't have to ask you every visit. After that, our cookie banner will ask you again. You can change your choice at any time by clicking the fingerprint icon in the corner of the screen.

7. Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal information we hold about you, and get a copy of it

  • Ask us to correct any information that's inaccurate or incomplete

  • Ask us to delete your information, where there's no good reason for us to keep it

  • Withdraw your consent at any time, where we're relying on consent to use your information

  • Object to us using your information for certain purposes

Changes to this policy

We may update this policy from time to time, for example if the way we collect or use information changes. Any updates will be posted on this page with a new "last updated" date.
